Terms and Conditions

 

Article 1

Definitions

  • The term ‘EuroMUN’ shall henceforth refer to the European Model United Nations conference held in Maastricht, organised by the EuroMUN Secretariat and hosted by the UNSA Maastricht.

  • The ‘Participants’ are those who have successfully enrolled in the conference through the EuroMUN MyMUN webpage, as provided in Article 6.

  • The ‘Parties’ shall refer to EuroMUN and its respective participants.

  • The ‘terms’ refer to this accord, concluded between the parties.

  • The ‘allocation of participants’ shall be understood as the assignment of a role to the participant within the conference.

Article 2

Scope of Terms

The parties understand that it is of utmost importance that the following rules and procedures are applied and adhered to by everyone in order to create a professional atmosphere and a successful conference.

Article 3

General remarks

The Terms and Conditions apply to all affairs between the ‘EuroMUN organising Committee’ (hereinafter ‘EuroMUN’) and the participants of the EuroMUN 2024 conference. A successful enrollment to the conference implies these Terms and Conditions have been accepted. Acceptance of those terms and conditions is a necessary condition to be admitted as a participant to EuroMUN but is not sufficient. Additional documents may be requested to assess eligibility to participate in the conference.

Article 4

Contractual relationship 

EuroMUN will, from the 9th of May 2024 to the 12th of May 2024, act as the organising committee of a Model United Nations conference in Maastricht hosted by UNSA Maastricht. It will provide a structure for the conference allowing the participants to simulate certain committees and procedures of the United Nations, the European Union and other international bodies. The precise scope of the conference as offered by EuroMUN is to be found on the website: https://www.euromun.net. In exchange for the price specified in the Article 11, participants will be able to take part in the simulation, within the framework of the conference, at debates and in roles as assigned to them by EuroMUN. For further details on the allocation procedure, please refer to Article 7.   

Article 5

Liability

EuroMUN will not be held responsible for the behaviour of its participants. Participants are accountable for their own individual actions and behaviour. EuroMUN is not liable for the consequences that arise from participants’ misconduct.

Article 6

Registration

Registrations are only possible through the official MyMUN EuroMUN webpage. Registrations open on the 15th of October 2023 for chairs and close on the 20th of November 2023, registrations for the delegates open on the 25th of January 2024 and close on the 25th of February 2024. Registration after this date will not be possible. Upon registration and being accepted to the conference, being a ‘Delegate’ derives the participant-specific rights at the conference: Delegates have the right to participate in the affairs and debates of the committee of their allocation. The prices are specified in Article 11. EuroMUN is a university-level conference. Therefore, only university-level students who are at least 18 years old at the time of the conference are eligible to participate in the conference. 

Article 7

Allocation

Allocation of participants shall not take place before the participant has been accepted by EuroMUN and all payment obligations have been fulfilled. EuroMUN will allocate delegates on the basis of merit, assessed with a content-based assessment (integrated in the registration process). EuroMUN does not provide any guarantee that participants will get one of their preferred choices.

Article 8

Conduct

EuroMUN is an international conference and welcomes participants from all over the world. To create a productive, energetic, and friendly atmosphere, certain rules of conduct have to be followed. 

  • The lingua franca of the conference is English. 

  • Respect towards other participants is an essential element of participants’ behaviour. Disrespect, racism, sexism and misogyny, homophobia, religious discrimination, or other offending remarks will not be tolerated and will lead to the offender being automatically expelled from all academic and social activities of the conference.

  • Should these rules of conduct be violated, EuroMUN reserves the right to sanction the participants in accordance with Article 10. 

Article 9

Decorum

To ensure the proper functioning and maintain the standard of EuroMUN, the following rules of decorum must at all times be followed during working sessions of the conference.

  • Participants must at all times adhere to the dress code of EuroMUN of a formal business attire;

  • Participants must at all times maintain a calm disposition;

  • Participants must at all times treat fellow participants, chairs, and staff with respect, even at times of disagreement;

  • Participants must at all times uphold the Rules of Procedure (RoP) of their respective committee as found on our website or on the MyMUN platform;

  • During formal committee sessions, participants must refrain from speaking out unless given permission by the chair of the respective committee;

Should these rules of Decorum not be adhered to, EuroMUN reserves the right to sanction the participants in accordance with Article 10.


Article 10

Sanctions

EuroMUN reserves the right to reject applications, revoke certificates, and expel participants from the conference or social events for any reason. Should any sanction be imposed, the offender will not be entitled to any refund, despite the provisions of Article 12. Should participants fail to meet an attendance of 70% at the conference, EuroMUN reserves the right to revoke the certificate

Article 11

Conference Fees

The fee for participants classified as ‘Delegates’ in EuroMUN 2024 is of 130€. Transaction fees through MyMUN are nonrefundable. Discounts to the delegate fee shall be applied during the application through the MyMUN platform, if applicable to the delegate. 

The Deadline for the payment of the delegate fee is on the 31st of March 2024.


Article 12

Withdrawal and Refunds

Both participants and EuroMUN reserve the right to withdraw from this contract. This withdrawal may occur in case of cancellation on behalf of the participant or expulsion in accordance with Article 10 on behalf of the conference. Should the participant be expelled for breach of these terms, they shall lose the right to any refund. Should conference fees already have been paid, in case of cancellation on behalf of the participant, the following refund policy applies. The following conditions apply from the moment of application to the conference, which is presumed at the moment the payment reaches the EuroMUN bank account. The transaction fee, included in the ticket price, is not refundable.

  • No refunds can be issued after the 15th of April 2024

  • No refunds will be issued in case of a revoked certificate.

  • No refunds will be guaranteed in case of the highly unlikely event of the cancellation of EuroMUN 2024

Article 13

Consent to digital recordings

Participants hereby give their consent to EuroMUN to conduct audio-visual recordings or take photographs of them and publish them on its website or social media for the purpose of marketing and advertising. Participants hereby waive any present or future claims for compensation or disgorgement of profits from this media or its publication and usage. Digital recordings will not be used in a detrimental way to any participant’s image or person. This article is without prejudice to the rights of the conference participants and obligations of EuroMUN organisers as laid down in Article 15, and especially paragraph 1 sub. ‘e’ of the current Terms and Conditions

Article 14

Treatment of personal information

The participant hereby expresses their consent to the usage of their personal information by EuroMUN. The personal information shall be provided by the participant in the registration form via an official and written exchange of communication between the parties. The personal information of the participant shall only be used to the extent that it is technically required for the proper registration to the conference and information exchange among partners. Personal information shall be handled with the GDPR as laid down in article 15 of those terms and conditions. 

Article 15 

Information clause for participants of EuroMUN 2023

According to Article 13 of the Regulation of the European Parliament and Council (EU) 2016/679 of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data and repealing of Directive 95/46/EC (hereinafter referred to as GDPR) we inform that:

  • The Administrator of your personal data provided in the application form is EuroMUN Secretariat, located at 6211KL Maastricht, e-mail: secretary-general@myunsa.org; phone: +31 6 84789578

  • The basis for the processing of your personal data is the contract concluded between the conference organizer and the participant of the conference, based on Article 6 (1) (b) GDPR.

  • The data will be processed for the settlement and organization of the conference EuroMUN 2024, and for the registration and allocation purposes of its participants.

  • We collect the following personal data from you: your name, email address, nationality, birth date, home university, country of residence, field of study, pronouns, dietary preferences/restrictions, previous MUN experience, motivation, delegation information (delegation name, head delegate name, delegate list), and any other information provided by the applicants in the application survey.
    We collect no sensitive data from you in the understanding of Article 9 GDPR.

  • EuroMUN Secretariat processes the personal data collected only for the purpose of performing the tasks, appropriate activities, and obligations resulting from the organisation of the EuroMUN 2024, including among others: 

    • identification of participants of the conference and assigning their allocations for the duration of EuroMUN 2024;

    • preparation of conference materials (e.g., appropriate names in the software used during the conference, certificates);

    • settling the conference and handling billing and payments;

  • Your data will not be processed in an automated way, including profiling.

  • Your personal data will be kept for the period necessary for the proper implementation and organisation of the conference, meaning up and including 31st of August 2024.

  • Access to your data is granted only to the EuroMUN Secretariat and the staff, who are involved in the organisation of the event. Where necessary, we may also share your information with software providers for the purposes of organising the conference. 

  • You have the right to access your data, to be provided, on request to the administrator, with a copy of the data we hold of you and to request its erasure or rectification and the right not to be subject to a purely automated decision. You may contact us at euromuninfo@myunsa.org with your request. 

  • You also have the right to withdraw your consent at any point and a right to lodge a complaint with the supervisory authority, if you consider that the processing of your personal data infringes the provisions of the GDPR.

  • Providing your personal data is necessary to enter into the contract of participation in the conference EuroMUN 2024. Should personal data not be provided, participation in the above-mentioned conference will not be possible.

Article 16

Expulsion

The participant acknowledges that the expulsion from the conference, under any of the above conditions, implies the enlistment of the offender in a ‘Black List’ that will forbid his/her participation in future editions of the conference and other activities hosted by UNSA of the same nature. The expulsion per se is sufficient to enrol someone to the ‘Black List’, no further explanation is required. The ‘Black List’ is shared with partners, although not binding on them.

No liability

This agreement does not entail liability of any kind, for both parties. No compensation for damages can be claimed on the basis of this agreement.

Article 18

Duration

This agreement will come into force the moment it is signed by both parties. It shall end on July 31, 2024. 

Article 19

Escape clause

EuroMUN retains the right to change the Terms and Conditions at any time. These changes will promptly be communicated to participants via email. 

Article 20

Good Faith

All obligations set out in this agreement must be performed in good faith, by both parties.

Article 21

Last remarks

By accepting these terms and conditions, delegates commit themselves to behave appropriately and contribute to a successful conference.

Article 22

Interpretation of the agreement

These terms shall be binding upon the respective heirs, executors, trustees, administrators, and representatives of the parties. The parties provide that this agreement shall be understood as undertaken on behalf of the respective title for the Secretary-general, and privately for the participant.
